Plans, limits and placement fees

Two separate things decide what you pay: your subscription, and — in two specific cases only — a one-time placement fee.

The free plan

The free plan is a real one: the full pipeline, with low caps. You can post, receive verified candidates, shortlist, interview and hire without paying, as long as you stay inside the limits.

It is not a trial that expires, and it is not a demo with the useful parts removed.

How limits work

Plan limits are enforced server-side, at the point of the action. Where a limit is about seats, the seat is reserved before the work happens rather than counted afterwards, so two people acting at the same moment cannot both slip past the same last seat.

Limits apply to every tenant on the current catalogue. There is no grandfathering: an older account is not quietly on better terms than a new one.

The placement fee

A one-time fee applies in exactly two cases:

  1. You hire a candidate you first contacted through marketplace outreach — inviting a candidate from the CalHire talent marketplace.
  2. You hire a candidate through an agency placement.

No placement fee applies to a candidate who applied directly to your job. The percentage that applies to you is shown before you send an outreach offer, not on the invoice afterwards.

Agencies: two different payments

If a recruiting agency introduces a candidate you hire, there can be two payments, and they are not the same thing:

  • You pay the agency its own fee, on the terms you agreed with them. CalHire is not a party to that, does not set it and does not collect it.
  • You pay CalHire the platform placement fee above.

Agency introductions are recorded when they are made, are visible to both sides from that moment, and carry a non-circumvention window. Section 5 of the Terms has the detail.

SSO

SAML single sign-on is an Enterprise feature. When your organisation enforces SSO, magic-link sign-in is refused rather than quietly left open as a side door.
